Growing up, I never ever desired to be a stay at home mom or even a work at home mom. I wanted to be in the hustle and bustle of a big city, walking to work from my high rise condo with a coffee in one hand and a briefcase in the other wearing a power suit.

Now my power suit is leggings and I’m usually typing with one hand while my awesome 1 and a half year old son crawls all over me.

And I love it. I couldn’t imagine life any other way.

That being said, I do have clients and they do have work that needs to be done and they are my priority because this is the career path I’ve been blessed with. After running our home renovation blog for nearly 3 years, I’ve learned quite a bit how to multitask, but with virtual assistant daily tasks, it works better for me to work in batches.

How to batch work with time blocking

Time blocking is essential for me in my virtual assistant daily schedule. There are lots of different methods out there for this so it may take you time to find your own rhythm here. And by time, I mean months. Then you’ll feel like you’ve got it figured out and you’ll get more clients and then it’ll have to change all over again.

I created a little graphic that helps you see what a day in the life of a virtual assistant looks like for me. Of course this will vary depending on your stage of life (single, married, no kids, little kids, older kids, etc).

Day in the life of a virtual assistant

I like behind the scenes stuff myself because I feel like it gives me a look at the things that may not be “beautiful” or “post worthy”, ya know?

My schedule changes daily because of 1, kids and 2, because I work with several bloggers on an ongoing basis, their needs change depending on projects or things they’re working on. I try to work on different tasks on different days.

Monday is my favorite, most productive day of the week when it comes to my virtual assistant tasks because I feel like I’m recharged from the weekend and I’m ready to rock and roll with work. It’s also a day where I do a lot of scheduling for clients as well with social posts, email, that sort of thing so this is more of a Tuesday through Thursday type schedule.

6:30am – Wake up. Jordan usually leaves for work about this time or earlier so it’s typically my last bit of quiet for the day.

7:00 – Wake both the kids up. I’ll get them fed and spend a little time snuggling with them since I lucked out and they still like to do that right now. I don’t feel bad for doing this at all.

8:30 – Leave the house to take my 4 year old to school. Sometimes I can sneak in answering an email or 2 or doing a task I can do on my phone like responding to some things on IG either for myself or someone else, but typically I don’t do anything heavy on my computer.

9:15 – Back from taking the toddler to school, my 1 and a half year old goes down for his nap. Now is the time I try to crank out a huge majority of my work.

9:15 to 10:00 – I set a timer for 1 hour and work on comment backlogs for the 3 bloggers for which I handle this task. If I finish prior to 10, then I’ll go ahead and jump on Facebook for one of my blogger clients and approve or decline people in her Facebook group.

10:00 to 11:00 – I have one client that I work for only an hour a week doing Pinterest, and assuming this is my day a week to do that for her, I will update her Pinterest and manage her Pinterest schedule. If it’s not the day to do that, I will manage my own Pinterest on either this account or my home renovation blog or check analytics for myself or other clients.

11:00 – Josiah wakes up and he’s a snuggler and I have absolutely no problem with that so we snuggle on the couch for about 15 minutes. Then it’s off to the kitchen to make lunch for sister. She currently holds the world record for the world’s slowest eater so I let her eat in the car so that we don’t have to argue about it.

11:30 – Leave the house to go get our toddler

12:30 – Return home from preschool.

1:00 – Feed the lil’ bear. Since he’s contained in his seat for about 20-30 minutes, I try to do quick little tasks here and there. Nothing that requires a lot of brain concentration. Maybe sift through junk emails, respond to comments on a blog or social channel. Nothing major.

2:00 – Both kids go down for a nap. I may try to squeeze in some lunch or maybe just a quick snack depending on how hungry I am.

2:00 to 3:00 – This hour is reserved for affiliate link management. I do this for 4 of my clients right now so I go in and make sure no links are broken, make sure seasonal items are still in stock and update accordingly. Because I do this for multiple clients, I typically bounce back and forth within the hour, knowing I can’t manage it all at once.

3:00 – 4:00 – SEO time! I ghost write so I have to research posts for that. I also am helping some backlog with some of my girls which means going back through some of their older content and bringing it up to today’s standards of SEO. Again, one of those projects that I could spend HOURS on, but instead I just set a timer and work as much as I can because if not, I’ll never get anything else done!

4:00 – Littles wake up so I spend time with them when they first wake up.

5:00 – Start making dinner if we are eating at home or getting kids ready to leave to go meet dad for dinner. His schedule is crazy these days so this varies from day to day but we try to make the most of it.

6:30 – Bath time for both kids

7:00 – Bed time for Josiah

7:30 – Spend one on one time with our girl before she goes to bed at 8.

8:00 – Bedtime for our 4 year old.

On some nights, I’ll pick up my laptop and answer some emails, plan some content for this site or another one, or work on something quick for a client. Other times, I’ll call it a night and veg on the couch watching a show and scrolling Instagram or Pinterest for my own fun instead of with a business mindset.

How many hours a week does a VA work?

This is a great question and it will depend on the number of clients you have, but the good news is you can control your own virtual assistant daily schedule. I would say on average I work about 4-5 solid hours a day, which is about 20-25 hours a week. Sometimes it’s more and sometimes it’s less.
